Part Orders

Part Orders are the way that you record part purchases in the system. They allow you to:

  • Purchase in-process parts
  • Purchase stocked parts
  • Perform returns
  • Reconcile purchases against vendors

Creating Part Orders

From a Ticket

Most of the part orders you create will be from a ticket so that you can acquire In-Process Parts. Anytime you add a part to a ticket you want to have it associated with either a Stocked Part or with a part order.

Creating a part order from a ticket is easy:

  1. Enter the part details (#, description, quantity, cost)
  2. Enter or select the vendor who you're purchasing the part from (the New Part Order option will not show up if a vendor isn't selected)
  3. Click New Part Order near the bottom of the dialog
    1. Part Orders on the ticket for the same vendor will also show here, but we recommend using a new part order if the purchase of the part is more than a day or two after the date of the original Part Order.

The system will create a part order, add the part to the part order, and associate the part with the ticket. You'll be shown a Part Order # which you should provide to your part vendor for reporting purposes.

Manually

You can also create a Part Order manually. This is useful for Stocked Parts and for returns.

Once the Part Order is created, it's easy to add new parts to the part order, either for in-process or stocked parts.

Part Returns

Returning a part that isn't getting used on a ticket is easy:

  1. Remove the part from the ticket
    1. This will cause the in-process part to show with a positive quantity in inventory, but because it's in-process we shouldn't have it - this is where the return comes in.
  2. Create a new part order
    1. You can also go to the original part order where you purchased the part, but the recommended process is to assign a separate part order.
  3. Select the part from the Inventory Part dropdown and add a negative quantity to the part.

This will create a negative Part Order total. In accounting, this will create a negative payable that you can clear once the refund is made, or apply it as a credit on another payable.
